Job Title: Administrative Assistant, Connecticut Psychological Association (CPA)

Job Description:

The Connecticut Psychological Association (CPA), a non-profit organization dedicated to advancing and protecting psychologists in CT, is seeking a highly organized and tech-savvy Administrative Assistant to join our team. This part-time position offers remote work and flexible hours, providing an excellent opportunity for individuals seeking work-life balance.  Currently seeking 2-5 hours/week up to 20 hours/month with potential to expand the position.

Responsibilities:

1. Digital File Organization: Efficiently organize and maintain digital files and documents, ensuring easy access and retrieval. Implement proper naming conventions and folder structures to enhance file organization.

2. Continuing Education Event Coordination: Collaborate with the Events team to assist in coordinating continuing education events for our members. This includes managing event logistics, such as scheduling, venue coordination, and speaker communication. Distribute and collect evaluation forms.  Ensure timely delivery of event-related continuing education certificates to participants.

3. Member Account Assistance: Provide support to CPA members by assisting with member accounts. Respond promptly to inquiries and requests related to account setup, renewal, and maintenance. Offer guidance on navigating member resources and benefits.

4. Spreadsheet Management: Utilize your proficiency in spreadsheets to assist in data management and analysis. Create and maintain spreadsheets to track various administrative tasks, such as membership renewals, event attendance, and financial records.

5. Digital Calendar Management: Maintain and update the organization’s shared digital calendar to ensure accurate scheduling of events, meetings, and deadlines. Coordinate with internal teams to avoid scheduling conflicts and optimize efficiency.

6. Shared Drive Maintenance: Collaborate with team members to organize and maintain the shared drive, ensuring files are properly categorized and accessible to authorized personnel. Regularly review and update permissions to maintain data security.

7. Mail Merge for Email Communications: Utilize mail merge tools to streamline email communications, such as member newsletters, event reminders, and important announcements. Ensure accurate and timely delivery of bulk emails while personalizing content as needed.

Qualifications:

  • Strong organizational skills with exceptional attention to detail.

– Proficiency in using spreadsheets (e.g., Microsoft Excel, Google Sheets) for data management and analysis.

– Familiarity with digital calendar systems (e.g., Google Calendar) and the ability to coordinate and manage multiple schedules effectively.

– Experience in maintaining shared drives or cloud-based file management systems (e.g. Google Drive).

– Proficiency in mail merge tools (e.g. Google Docs) for email communication.

– Excellent written and verbal communication skills.

– Ability to work independently and collaboratively in a remote work environment.

– Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
